Reading Office 365 e-mail in Thunderbird

In the first phase of implementation of Office 365, e-mail and the calendar will be taken into use. The calendar cannot be used in Thunderbird without the installation of add-ons (see instructions), and problem-free operation of all features cannot be guaranteed even after that. The use of Office 365 will be later expanded to include other features. Continued use of Thunderbird is not recommended because of this as well.

The recommended application for using the Office 365 service is Outlook.

These instructions explain how to read Office 365 e-mail in Thunderbird. The instructions have been prepared for Thunderbird's version 24.6.0.

The instructions only explain how to make the required settings. General instructions on the use of Thunderbird are available in Helpdesk's e-mail instructions.

Taking Thunderbird into use is straightforward if you haven't used it previously for reading your e-mail. If you have been using Thunderbird as the e-mail application, its settings need to be adjusted.

If you haven't used Thunderbird for e-mails previously

Open Thunderbird. The installation wizard opens. Fill in the following fields:

  • The name is pre-filled, but you can modify it if you like. (1).
  • Enter your e-mail address in the format firstname.lastname@helsinki.fi (2).
  • Enter your password (3).
  • (4) is selected by default. Saving passwords is not recommended, however. Therefore, you should remove the tick.
  • Click Continue (5).

     

  • Click Manual config.

     

  • Make sure the settings are as in the image. Settings which need to be changed:
    • (1) Server hostname: outlook.office365.com
    • (2) Port: 993
    • (3) Authentication: Normal password
    • (4) Username: username@ad.helsinki.fi
  • finally, click Re-test (5). The application tests the connection with the information you entered.

     

  • If there are no error messages, click Done.

     

  • If you want to use Thunderbird as the default application for reading your e-mails, click Set as Default.

     

  • The installation is complete. Thunderbird starts and shows your e-mails.

     

If you have used Thunderbird for e-mails previously

If you have used Thunderbird for e-mails previously, you have at least one e-mail account already set. These instructions assume that Thunderbird has been used for reading the university's Mappi e-mail. In other cases, the instructions have to be adjusted.

  • Right-click the e-mail account.
  • Open Settings.

     

  • Under Server Settings, check that the mail server is posti.mappi.helsinki.fi. This means that you have been using Thunderbird for reading Mappi e-mail.

     

  • Click the name of the account (1).
  • Sections (2) – (4) contain the information required for reading Mappi e-mail. When the mail server changes, all e-mails in the format Firstname.Lastname@helsinki.fi will be delivered to the new server. Mappi e-mail stays on the old server, and administration does not transfer any e-mails from the old server to the new system.You can, however, copy the Mappi e-mails to the new system yourself.

    In order to be able to read your old e-mails in the future as well, you need two separate accounts, one for the old Mappi server and another one for the new Office 365 server.

     

Keeping the accounts (and thereby also e-mails arriving at different servers; the new and old e-mails) separately is easier when you use descriptive names. Let's start by changing the name of the existing Mappi e-mail account.

  • Change the name of the account (2). In this example, we use the name "Mappiposti", but you can choose some other name as well.
  • Change the e-mail address (3) to format account@mappi.helsinki.fi. Mappi e-mail stays in use in parallel with Office 365 e-mail for now. After migration to Office 365, all e-mails to Firstaname.Lastname@helsinki.fi are directed to the new server.

    Mappi e-mail can still be used, and e-mail can be sent to it using the address account@mappi.helsinki.fi. Continuing the use is not recommended, but it's good to know that the old system stays and that some e-mail may be directed to it. To be sure, you can redirect your mail from Mappi to the new server.

  • At the same time, you should set the Reply-to address to direct e-mails to the new server (4).
  • Click OK (5).

     

  • The application warns of possible problems with junk mail filtering. Click Yes if you want to check the junk mail settings.

     

  • Click OK.

     

  • The account name has changed. All operations remain as they were. You can read e-mails on the Mappi server just like before.

     

Next, create a new account for reading e-mails on the new Office 365 server:

  • Click the name of the account.
  • Click Create a new account: Email.

     

  • Fill in the following fields:
    • The name is pre-filled (1).
    • Enter your e-mail address in the format firstname.lastname@helsinki.fi (2).
    • Enter your password (3).
    • (4) is selected by default. Saving passwords is not recommended, however. Therefore, you should remove the tick.
    • Click Continue (5).

       

  • Click Manual config.

     

  • Make sure the settings are as shown in the image: Settings which need to be changed:
    • (1) Server hostname: outlook.office365.com
    • (2) Port: 993
    • (3) Authentication: Normal password
    • (4) Username: username@ad.helsinki.fi
  • finally, click Re-test (5). The application tests the connection with the information you entered.

     

  • If there are no error messages, click Done.

     

  • The application may ask whether you want to use Thunderbird as the default application.
  • Click Set as Default.

     

  • The new account has been created. In addition to old Mappi e-mail, you can now read e-mails arriving at the new Office 365 server.
  • The e-mail accounts are shown on the left. To read e-mails which have arrived on the Mappi server, click the mappiposti@helsinki.fi account (1).
  • All e-mails to Firstname.Lastname@helsinki.fi arriving after the Office 365 migration are directed to the Office 365 server. To read them, click the Firstname.Lastname@helsinki.fi account (2).

     

Differences in folder structure compared to Office 365

Thunderbird handles folders and messages differently than Office 365.

Pay particular attention to the differences between these folders:

Please note that some of the Office 365 folders may not be preordered in Thunderbird, which means you will have to adjust the Subscribe listing.

 

Calendar in Thunderbird

 

The calendar cannot be used in Thunderbird without installing plugins, and problem-free operation of all features cannot be guaranteed even after that.
NOTE! Do not subscribe to the Calendar folder in the email list as Thunderbird is unable to process the information in the folder correctly and will, instead, claim that the data is corrupted and may, in the worst case scenario, delete the entire content of the folder. This will delete all the calendar markings in the server and make them unavailable in OWA as well.
