Teams and Planner are part of Microsoft 365 services. You can find them all in these instructions, which provides general data processing information about Microsoft 365.
Microsoft Teams is a versatile and editable hub for teamwork. It provides both bilateral instant messaging and video call features between two parties as well as permanent discussion channels for different groups. With Planner, you can compile a work plan, gather a team, define tasks and keep track of progress.
You can use Teams either via a web browser (we recommend Chrome) or via a client application installed on your computer. The desktop app makes it easier to use; it is available from the Software Centre for centrally managed Windows machines, and from the Managed Software Centre for Macs. For iPhone and Android phones, Teams can be downloaded from the device’s app store.
In addition to these instructions, we’ve put together some best practices for using Teams.

Teams on Android phones
Adding the Teams app to an Android phone:
The screens may differ from this guide depending on the phone, but the principle is the same.
- Open the Play Store from the icon.
- Type Teams into the search field.
- Select the Microsoft Teams app from the search results.
- Tap Install.
- Once the installation is complete, open Teams by tapping Open.
- Teams will suggest your university user account if other university services are already in use on the same device.
- Select your account and log in. If necessary, accept the two-step verification request.
- Jos Teams ei ehdota mitään käyttäjätiliä, näkyy näytöllä nappi Kirjaudu (SIgn in). Paina nappia.
- Paina seuraavassa näytössä nappia Lisää tili (Add account). Kirjoita käyttäjätunnuksesi pitkässä muodossa tunnus@ad.helsinki.fi.
- Anna salasanasi ja kosketa nappia Kirjaudu (Sign in).
- Hyväksy tarvittaessa kaksivaiheinen tunnistautumispyyntö.
- If Teams does not suggest any user accounts, a button will appear on the screen Sign in. Tap the button.
- On the next screen, tap the button Add account. Enter your username in full tunnus@ad.helsinki.fi.
- Enter your password and tap the Sign in button.
- If necessary, accept the two-step verification request.
Creating a new Team
When creating a new Team, use the abbreviation of your department with a hyphen in order to avoid misunderstandings (e.g. YPA-, TIKE-, MMTDK-). Administration may rename or remove incorrectly or inappropriately named Teams.
How to get started:
Files in Teams
You can attach files to Teams conversations by selecting + > Attach file.
You can also attach a file using a share link. In this case, remember to check the file’s sharing permissions before sharing. Read more about sharing permissions in the OneDrive guide.
About file permissions in Teams:
- In files attached to channels in Teams, permissions are granted to the people in that team.
Note! Files shared in Teams are stored in the team’s own SharePoint storage. - For files attached to a chat conversation, permissions are automatically granted to the people currently in the conversation. If new people are added to the chat, they do not automatically have access to files shared previously.
Note: Files shared in chat conversations are, in practice, stored in the file sharer’s own OneDrive for Business storage.
Searching for files in Teams
- In a chat conversation, all files can be found under the Shared tab. You can filter or search for files, for example, by who shared the file or by date.
- In Teams, all files can be found in the channel-specific Shared tabs.

Microsoft Planner
With Microsoft Planner, you can compile a work plan, gather a team, define tasks and keep track of progress. Microsoft Planner can be used by most people with the Office 365 subscription of their place of work or educational institution.
Tip: gather a Team with Microsoft Teams and add Planner as a tab in Teams.
How to get started:
Guest access from outside University
There is the option of adding members outside the university (Microsoft 365 and Windows Live users) to the Teams and Planner groups.
