The Flamma Workgroups service will be migrated to a new platform by the end of November 2026. At the same time, the service will be renamed to Wiki Workgroups. Please mark your Flamma workgroups for transfer as soon as possible – markings must be completed by 30 September 2026. Workgroups that have not been marked will not be transferred to Wiki Workgroups.
We ask all owners of Flamma Workgroups (workgroups.helsinki.fi) workgroup spaces to mark their content either for transfer to the new platform or for archiving well in advance
- Please note: All workgroup areas must be marked either for transfer or for archiving – workgroups that have not been marked will not be transferred to the new platform.
- Once you’ve marked your workgroup for transfer, the workgroup and all pages it contains will be migrated to the Wiki Workgroups service – you do not need to mark individual pages in the workgroup area for transfer.
- It is enough to mark your workgroup area for transfer – the IT Centre will carry out the actual transfers when they begin in August–September. Mark all workgroup areas you no longer need for archiving.
- We will send email messages to Flamma Workgroups space owners about the upcoming transfers, a reminder about content that has not yet been marked and a confirmation when the workgroup has been transferred to Wiki Workgroups and is available for editing.
- Page permissions will also be transferred, but both the content and permissions require your review once the transfers have been completed.
- Please note: Personal workgroup areas will not be transferred at all. You can create PDF files of personal workgroup areas and save them locally on your own computer. See IT Helpdesk instructions on how to export workgroups to PDF files
Important information on archiving workgroups and restoring archived content
University staff and students will have access to the Flamma Workgroups’ Confluence platform until the license end date 23 November 2026. After this date, the workgroups and content on the discontinued platform will be transferred behind a strict firewall, accessible only to IT Centre administrators from select internal IP addresses. Please note! This is not permanent electronic archiving as referred to in the Archives Act.
If necessary, the data can nevertheless be restored by submitting a request through IT Helpdesk, either as a migration to the new Wiki Workgroups service or as a PDF file. Content restoration can be requested until 1 June 2027.
How to mark your Flamma workgroup for transfer or archiving
1. In the workgroup menu (workgroups.helsinki.fi), under Space Tools, select Settings:
2. In the Space tools view, select Overview and then Space Details. Select Edit next to the Categories field:
3. Enter your selection in the Categories field (or select the information from the Suggested Space Categories list):
- 1_siirto or
- 2_arkisto
Finally, select Add.
Flamma Workgroups will be renamed to Wiki Workgroups
The Flamma Workgroups service’s name will change to Wiki workgroups when the new platform is introduced. The new name clarifies the service’s purpose and distinguishes it from Flamma, the University’s official intranet service.

Should I use the Wiki Workgroups service or the Wiki service?
Wiki Workgroups (workgroups.helsinki.fi – to be launched in Autumn 2026) is intended primarily for producing and presenting the University’s internal content and for collaboration between academic communities (Haka and eduGAIN federations).
Use Wiki Workgroups if your content is intended only for internal use at the University or for collaboration between academic communities.
The Wiki service (wiki.helsinki.fi) is suitable not only for the University’s internal content but also for presenting publicly visible content, and its use is less restricted. Administrators of wiki pages and spaces can, for example, create local user accounts and invitation links that allow users outside the University to edit wiki pages.
Use the Wiki service if your content must e.g. be publicly visible or accessible also from outside the Haka and eduGAIN federations. You can also use the Wiki service to produce content intended solely for internal University use by limiting the permissions and visibility of the wiki space.
Both Wiki Workgroups (workgroups.helsinki.fi – to be launched in Autumn 2026) and the Wiki service (wiki.helsinki.fi) operate on the same XWiki platform. This means that you do not need to learn to use Wiki Workgroups from scratch, and you can add and edit content in the same way as in the Wiki service.
