Office 365 in a nutshell

The university's Office 365 e-mail service contains two separate systems: local e-mail and cloud e-mail. As a default, everyone at the university uses the cloud e-mail. Some duties may prevent the use of cloud e-mail. In such special cases, the user's e-mails are stored on the local server. Contact the Helpdesk for further information.

The Helpdesk's instructions have been prepared for users of cloud e-mail. Most instructions related to the operation, however, apply to both systems. But there are some differences in the settings of e-mail applications and mobile devices.

To ensure smooth cooperation, members of the same group should use the same system. All functions might not work seamlessly or at all between the local and the cloud mailbox.

Local vs. cloud service – where am I?

Which Office 365 system is my mailbox located in?

The easiest way to determine the location of your service is by looking at your mailbox quota. If you use the cloud service, the size of your mailbox is 50-100 GB (depending on license), and if you use the local service, the size of your mailbox is 10 GB.

You will find details of the quota in Outlook Web App (OWA), by clicking on the cog icon > find word Storage.

In Outlook, the information can be found under Backstage, which is located on the File page, under Mailbox cleanup.

Differences between local service and cloud service

The settings of the different software are configured at implementation. Some software (such as Outlook) find the data automatically based on the e-mail address, but in some cases, all settings have to be entered manually.

If you need to enter server data at installation, you will find the different settings of the local and the cloud services below.

Local e-mail

  • Server: office365.helsinki.fi
  • Domain: ad.helsinki.fi (in some cases, atkk)
  • Username: username

Cloud e-mail

  • Server: outlook.office365.com
  • Domain: leave empty
  • Username: username@ad.helsinki.fi
